Fingerprints and Apostilles LLC ("we," "us," or "our") operates the website fingerprintsandapostilles.com and provides fingerprinting and apostille services at our Virginia locations and nationwide through our online portal. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our website and services.
By using our website or services, you consent to the practices described in this policy. If you do not agree with this policy, please do not use our website or services.
We collect personal information that you provide directly to us when you use our services. This includes your name, email address, phone number, and mailing address when you schedule an appointment, place an apostille order, or contact us. When you submit an apostille order, we also collect the documents you upload, such as FBI background checks and naturalization certificates.
Payment information, including credit card details, is collected and processed securely by our payment processor, Stripe. We do not store your full credit card number on our servers.
When you visit our website, we automatically collect certain technical information, including your IP address, browser type, device type, pages viewed, and how you interact with the site. This information is collected through analytics tools as described in the Cookies and Tracking section below.
Our fingerprinting services involve the collection and processing of biometric data, specifically your fingerprints. We take the handling of this data very seriously.
Fingerprints are collected solely for the purpose of completing the service you requested: submitting prints to the FBI for background checks, creating fingerprint cards, or fulfilling other fingerprinting requests. Fingerprint data is captured using secure, FBI-certified technology provided by TotalBiometrics and transmitted directly to the appropriate government agency or printed onto your requested card format.
We do not sell, lease, trade, or otherwise share your biometric data with third parties except as necessary to complete your requested service. Biometric data captured during your appointment is not retained on our systems after service completion. The only exception is our optional Fingerprints on File service, where customers explicitly request that we store their prints for future reprints or resubmissions. In that case, prints are stored securely for the duration of the subscription period and deleted upon expiration or at your request.
We use the information we collect to provide and improve our services. This includes processing your fingerprinting appointments, submitting documents to the U.S. Department of State for apostille processing, communicating with you about your orders and appointments, sending post-appointment instructions and notifications, processing payments, and responding to your questions and requests.
We may also use your contact information to send service-related communications, such as appointment confirmations, order status updates, and instructions for accessing your FBI background check results. These are transactional communications necessary to deliver the services you requested, not marketing emails.
Our Partner Program allows businesses to submit their clients' documents through a secure portal for apostille processing. When a partner submits an order on behalf of their client, we receive the client's name, contact information, and documents. This data is handled with the same security standards as all other customer data.
Partners using our white-label communication features authorize us to send order updates and status notifications to their clients on the partner's behalf. These communications are branded to the partner's company. We do not use partner client data for any purpose other than fulfilling the apostille order and sending authorized communications.
We use the following third-party services to operate our business. Each of these services has its own privacy policy governing how they handle data.
Stripe processes all payments on our behalf. Your payment information is sent directly to Stripe's secure servers. TotalBiometrics provides the fingerprint capture technology used at our locations. Supabase provides secure database hosting for our order management and customer records. PostHog and Google Analytics are used to understand how visitors use our website so we can improve the experience. Quo is our business phone system, which records call information for quality and training purposes.
Our website uses cookies and similar tracking technologies to collect analytics data. PostHog collects information about your browsing behavior on our site, including pages visited, time spent, and interactions. Google Analytics collects similar usage data to help us understand traffic patterns and improve our website.
These tools use cookies stored on your device. You can control cookie settings through your browser preferences. Disabling cookies may affect some website functionality but will not prevent you from using our services.
We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. Order records and transaction history are retained for business, tax, and legal compliance purposes. Contact information is retained until you request its deletion.
As noted in the Biometric Data section, fingerprint data is not retained after service completion unless you have opted into our Fingerprints on File storage service. Documents uploaded for apostille processing are retained only for the duration of order fulfillment and a reasonable period afterward for customer support purposes.
You have the right to request access to the personal information we hold about you. You may also request that we correct any inaccurate information or delete your personal data, subject to our legal obligations to retain certain records. To exercise any of these rights, please contact us using the information provided below.
If you have created an account through our partner portal, you can access and update your account information by logging in. For all other requests, please email us or call our office and we will respond within a reasonable timeframe.
Our website and services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us immediately and we will take steps to delete that information.
